About us

Cambridge Apartments, Inc. (dba PF Properties) is a seventy-five-year-old family owned real estate business located in the western suburbs of Minneapolis.

Cambridge owns and manages a million square foot portfolio in the north and west twin cities metro area consisting of 10 office/warehouse buildings, 5 apartments, 4 retail centers and 1 office building.

Job Summary:

We are seeking a detail-oriented and organized Property Administrator to join our team. As a Property Administrator, you will be responsible for overseeing the administrative and operational aspects of our properties, Commercial and Multi-Family.

The Property Administrator helps to ensure long- term occupancy in company properties by providing a high level of customer service to the property management team members and building tenants. The Property Administrator provides administrative process and procedures to assist management in managing the operating costs, capital expenditures, appearance of properties and the overall financial health of each property. The Property Administrator helps ensure accurate accounting information and tenant documentation for the successful operation of the business. The Property administrator is a key liaison between tenants and building management staff to ensure our buildings are clean, functional and welcoming.

The position reports to the Executive Vice President Portfolio Management

REPSONSIBILITIES INCLUDE:

FINANCIAL INFORMATION PROCESSING

Process and review payables and receivables for each property.

Review monthly payable vouchers.

Process cash receipts and bank deposits.

Prepare monthly accounts receivable reports. Assist in the collection of accounts receivables.

Assist in maintaining the accuracy of the general ledger, monitoring cash balances and forecasting cash needs

Quick Books and AppFolio administration.

Assist with reconciliation of monthly bank statements and accounts receivable.

APARTMENT AND COMMERCIAL TENANT LEASE AND RENTS PROCESSING

Maintain building rent rolls, tenant information database, certificate of insurance records, etc.

Assist with inputting new and amended lease information into property management and accounting software.

Assist Sr. Property Manager in preparing and finalizing annual property budgets for each property.

Prepare rental notices (coupons and cover letters) for each Commercial tenant prior to the beginning of each year.

Assist Sr Property Manager in completing annual commercial tenant reconciliations.

Process invoices for security deposit refunds.

Process one-off billings, credit memos and cash receipts.

COMMERCIAL TENANT COMMUNICATIONS

Prepare notices to tenants regarding building issues (utility outages/disruptions etc.).

Prepare past due notices to tenants.

Respond to tenant inquiries regarding lease payments.

Respond to tenant inquires and/or refer to Sr. Property Manager regarding building issues or concerns.

Facilitate utility transfers, shut offs, and set up for acquired properties and new tenants.

BUILDING CONTRACTS AND SYSTEMS

Assist Sr. Property Manager with managing and tracking service contracts.

Assist Sr. Property Manager in updating and obtaining new service contract proposals.

Assist Sr. Property Manager in maintaining timely ongoing annual fire and security system inspections.

RECORDS STORAGE

Maintain all lease files.

Maintain building acquisition files along with blueprints and mechanical drawings.

Maintain all payables receipts.

OFFICE ADMINISTRATION

Provide direct administrative support to management and property management.

Order and maintain check stock and other banking supplies.

SKILLS AND ABILITIES
Multi-tasking – ability to juggle projects for several properties.

Analytical skills – skilled in conducting periodic review and analysis of financial records to ensure balanced accounts.

Solid oral and written communication skills.

Team work – skilled at operating in an accountable and collaborative team environment.

Demonstrates enthusiasm for implementing innovative ideas.

Capable of building customer service relationships with tenants and vendors.

Proactive – ability to anticipate administrative and reporting needs of the team.

Strong organization and time management skills.

Education – post secondary training in property management and accounting. Bachelor’s degree in business desirable.

Demonstrated competence in Microsoft Office, Quick Books and AppFolio.

Job Type: Full-time

Pay: $45,000.00 - $60,000.00 per year
